ABOUT THE ROLE
The Executive Assistant to the Senior Pastor serves as a trusted ministry partner who provides high-level administrative, organizational, and communication support to the Senior Pastor. This role helps maximize the pastor’s effectiveness by managing priorities, protecting time, coordinating ministry efforts, and ensuring excellent communication and follow-through across all areas of responsibility.
This position requires becoming and remaining a fully participating member of First Baptist Mt. Juliet. The Executive Assistant must be a spiritually mature, servant-hearted individual who is fully aligned with the mission, vision, values, and leadership of First Baptist Church Mt. Juliet and committed to serving with excellence, professionalism, discretion, and care.

Pastor Support & Calendar Management
Manage the Senior Pastor’s calendar, appointments, meetings, ministry engagements, travel, itineraries, and daily workflow according to pastoral priorities.
Evaluate and prioritize requests for the pastor’s time, protecting space for ministry preparation, leadership responsibilities, family priorities, and personal margin.
Maintain awareness of the pastor’s daily, weekly, and long-term schedule and coordinate logistics, accommodations, and ministry details as needed.
Communication, Correspondence & Guest Relations
Serve as a primary point of communication for the Senior Pastor through phone calls, emails, visitors, correspondence, and ministry-related requests.
Draft, type, review, edit, and distribute correspondence, emails, letters, cards, reports, presentations, sermon notes, and ministry documents as requested.
Monitor communication flow, church and pastor-related social media, and urgent or sensitive matters, bringing relevant information to the pastor’s attention promptly.
Receive and assist office guests with warmth, professionalism, hospitality, and discretion while appropriately guarding the pastor’s schedule and availability.
Ministry Coordination & Administrative Support
Coordinate meetings, ministry activities, guest speakers, weddings, funerals, baptisms, Sunday responsibilities, and church functions involving the Senior Pastor.
Prepare meeting materials, agendas, notes, presentations, research, ProPresenter or supporting files, and follow-up documents as needed.
Track assignments, action items, names, follow-up needs, and ministry conversations from meetings, services, and events.
Maintain organized digital and hard-copy files, church information, directories, contact information, ministry updates, policies, procedures, and records.
Work collaboratively with staff and ministry leaders to support church-wide communication, smooth event execution, problem-solving, and follow-through.
Anticipate ministry and administrative needs, exercise sound judgment, and complete additional duties as assigned by the Senior Pastor.

Maintains strict confidentiality with sensitive pastoral, personnel, counseling, financial, and ministry matters.
Strong administrative, organizational, interpersonal, written communication, proofreading, editing, phone etiquette, and hospitality skills.
Able to manage multiple priorities, solve problems proactively, exercise discernment, and interact graciously with a wide variety of people.
Proficient in Microsoft Office, Google Workspace, email communication, internet research, and general office technology; familiarity with Planning Center, church management systems, social media, and presentation software is preferred.
Dependable, reliable, tactful, flexible, detail-oriented, proactive, responsive, and able to work well as part of a collaborative church staff team.

CALLING
Prior experience in executive assistance, office administration, ministry coordination, or a comparable high-trust support role is preferred.
Proficient in Microsoft Office, Google Workspace, email communication, internet research, scheduling tools, and general office technology.
Familiarity with church management systems, Planning Center, social media platforms, presentation software, and church office workflows is helpful.
